Full Rental Management Services
In appointing Cardwells to find a suitable tenant and manage your property, you can be assured that we will look after your property to the highest of standards and protect your best interests throughout the tenancy. Our fully managed lettings and rental management services are designed to make life easier for landlords while ensuring compliance with the latest rental legislation and changes to The Renters’ Rights Act.
From the start, we focus on selecting suitable tenants, protecting your investment, and helping landlords remain compliant with current landlord legal requirements. The tenant does not have your direct contact details, meaning you do not need to worry about day-to-day calls or tenancy issues. If there is a problem, the tenant contacts Cardwells directly, and our experienced property management team will handle the matter on your behalf. As an established property management company with offices in Bolton and Bury, Cardwells provides professional property management services, landlord services, tenant management, and rental property management across Lancashire and the North West.
The following checklist covers some of the important services we provide as part of our residential property management and fully managed lettings service, while also highlighting areas landlords may need to consider.
Thorough, Objective Tenant & Guarantor Referencing
Tenant referencing is one of the most important parts of any rental management service. Our thorough tenant and guarantor referencing process helps landlords make informed decisions when choosing tenants for a property to let. As part of our tenant management and landlord services, independent checks may include:
- Credit referencing
- Affordability assessments
- Employment verification
- Previous landlord references
- Guarantor checks where required
- Right to Rent checks in line with current compliance regulations.
These checks help reduce risk for landlords and support the smooth management of managed rental properties.
Marketing Your Property
Your property will be marketed through our estate agency offices and across major online property portals including Cardwells.co.uk, Rightmove, OnTheMarket and Zoopla. The Cardwell’s lettings team will create professional marketing materials, including:
- Property descriptions
- Photography
- Floor plans where applicable
- Room measurements
- Key feature highlights
If you have a property to let in Bolton, Bury, Walkden, Worsley, Manchester, or the surrounding North West areas, our property management services are designed to maximise exposure and help secure suitable tenants. As trusted local letting agents, we understand the importance of effectively marketing managed rental properties in a competitive market.
Legal Requirements & Tenancy Agreements
In line with the Renters’ Rights Act and recent changes to rental law, tenancy agreements and landlord responsibilities continue to evolve. Most tenancies are now expected to operate under periodic tenancy arrangements rather than fixed-term Assured Shorthold Tenancy Agreements. Landlords must remain compliant with the latest legislation relating to notice periods, rent increases, tenant rights, and property standards. Cardwells helps landlords remain compliant by:
- Preparing tenancy agreements
- Guiding landlord legal requirements
- Assisting with compliance documentation
- Keeping landlords updated with legislation changes affecting residential property management
Gas Safety Certificate
A valid Gas Safety Certificate remains a legal requirement for every gas appliance within a rental property.
Landlords must ensure that annual inspections are carried out by a Gas Safe-registered engineer. Cardwells can arrange this as part of our rental property management and landlord services.
Electrical Safety
Electrical safety remains an important compliance requirement for landlords.
Current regulations require landlords to ensure electrical installations are inspected and tested at least every five years by a qualified professional. Portable appliances supplied in furnished properties should also be safe for tenants to use. As part of our property management services, Cardwells can assist in arranging:
- EICR certificates
- Electrical inspections
- Appliance safety testing
- Contractor quotations and works approval
EPC – Energy Performance Certificates
An Energy Performance Certificate (EPC) is required when marketing a property to let. Landlords should ensure their rental property meets the minimum EPC requirements under current compliance legislation.
Cardwells can arrange an EPC on your behalf if required.
Smoke & Carbon Monoxide Alarms
Landlords are legally required to ensure that smoke and carbon monoxide alarms are correctly fitted and functioning in rental properties. Before the start of every tenancy, alarms should be tested and confirmed operational. Our fully managed lettings service helps landlords remain compliant with current safety legislation.
Insurance
Landlords must arrange suitable landlord insurance for any property to let. Standard residential insurance policies may not provide appropriate cover for rental properties. Specialist landlord insurance may include:
- Buildings insurance
- Contents insurance
- Loss of rent cover
- Legal expenses cover
- Rent guarantee scheme protection
Cardwells can assist landlords in obtaining suitable quotations through trusted insurance providers.
Mortgage Requirements
Landlords must notify their mortgage lender if they intend to rent out their property. Failure to do so may breach mortgage terms and conditions.
Even if tenants fail to pay rent, landlords remain responsible for mortgage repayments. Some landlords may wish to consider a rent guarantee scheme for additional protection.
Residence & Domicile
If a landlord takes up residence outside the United Kingdom, current taxation rules may apply. Where required, deductions may be made until a valid exemption certificate is obtained from HMRC and provided to Cardwells Property Management.
Inventory
An accurate inventory remains an important part of rental property management and tenant management. Cardwells assists landlords with preparing inventories and property condition records at the start of the tenancy. These records help protect both landlords and tenants throughout the tenancy and during any deposit disputes. The inventory should be checked and signed by the tenant at move-in.
Furnishings
Any furnishings supplied within the property must comply with current fire safety regulations. Soft furnishings should carry the appropriate fire safety labels in accordance with UK legislation.
Deposit Protection Scheme
To comply with current legislation, tenant deposits must be protected within a government-approved Deposit Protection Scheme.
Cardwells uses the Deposit Protection Service (DPS) to register deposits for managed rental properties.
As part of our fully managed lettings and residential property management service, we will:
- Register deposits correctly
- Issue prescribed information
- Manage deposit disputes where required.
- Assist with end-of-tenancy negotiations.
If disputes arise regarding cleaning, repairs, damages, or gardening, evidence may be submitted to the Deposit Protection Scheme for independent adjudication.
Lease Signing & Tenant Documentation
Cardwells prepares tenancy agreements and supporting documentation for landlords. Tenants and landlords may be invited to attend appointments to review and sign tenancy paperwork, arrange payments, and confirm tenancy details. Landlords should provide:
- Forwarding address
- Contact details
- Email address
- Bank information for rent payments
Our property management services aim to make the process straightforward while ensuring ongoing compliance.
Handover on Completion
At the start of the tenancy, Cardwells’ staff will meet the tenant to complete the property handover.
A Property Condition Form will be completed and may include:
- Meter readings
- Property photographs
- Cleanliness records
- Existing damage notes
- Garden condition records
Landlords should also provide details of their utility suppliers and council tax information. As part of our tenant management and rental management services, Cardwells can notify utility providers and local authorities where appropriate.
During the Tenancy
During the tenancy, tenants contact Cardwells directly regarding maintenance issues, repairs, or tenancy matters. Our property management company carries out periodic inspections as part of our residential property management services to help ensure properties remain well-maintained. Landlords remain responsible for ongoing maintenance and repairs not caused by tenant misuse. Cardwells aims to resolve issues quickly and professionally while supporting both landlords and tenants throughout the tenancy.
Hand Back of Property
At the end of the tenancy, Cardwells and ideally the landlord will attend the property to complete the hand-back process.
Checks may include:
- Property condition
- Inventory comparison
- Meter readings
- Cleaning standards
- Damage assessments
Where appropriate, deposits will be returned through the Deposit Protection Scheme process. Unlike some other letting agents in your area, Cardwells does not charge additional fees for interim inspections, property handovers, or hand-backs as part of our fully managed lettings service.
